Bookkeeping › Remote
Remote bookkeeping, in your own file.
Published range $550–$1,800/mo
We work inside your own QuickBooks file with secure access, reconcile every account, and run your monthly close — anywhere in the US. Each close is reviewed before you see it, and you keep ownership of the file.
Your own QuickBooks file · multi-factor authentication on each login we hold for your books.
Reviewed before delivery means a documented check runs before anything reaches you: every bank and card account tied to its statement, open items listed in writing. How the review works.
Quick answer
Remote bookkeeping works because the books live in your own QuickBooks file rather than on our systems. You grant accountant access, statements and bank feeds arrive digitally, and questions reach you in writing. The test for any remote arrangement: if you can't remove the provider's access yourself, without asking, the file isn't really yours.
Included in monthly bookkeeping ($550–$1,800 a month); your exact fee is scoped in writing. Working remotely doesn't change the fee; the number of accounts and transactions does. What the range covers.
Remote, done right
The location that matters is your QuickBooks file.
Bookkeeping stopped needing a storefront the moment the books moved into the cloud. What matters isn't where the bookkeeper sits — it's whether the work is done accurately in your file, on a reliable cadence, and reviewed before you receive it.
That's what remote lets us do well: reconciling and closing in your own file every month, with documents exchanged securely. No driving across town to drop off receipts.
It's also how we serve businesses across the US — Texas first: the work is remote, the books are genuinely kept, and each close passes a documented review first.
In your own file
Accountant-level access to your QuickBooks — you own the file and the history, we keep it clean.
Secure by default
Documents move by secure exchange, not email, with multi-factor authentication on each login we hold for your books — and access you control and can revoke.
Reviewed before delivery
Reconciled numbers checked before they reach you, every month.

Figure data as a table
| Step | What happens |
|---|---|
| 1. You invite us | An accountant user added to your QuickBooks file; the subscription and the data stay in your name. |
| 2. Records arrive digitally | Read-only bank and card feeds, statements you download and payroll reports, sent securely rather than by email. |
| 3. Questions in writing | A short list each month: what a transfer was for, whether a purchase is equipment or supplies. |
| 4. The close checked | Every account reconciled to its statement and the close reviewed before it reaches you. |
| 5. You hold the off switch | Remove our user in the file's settings; the file and its history stay with you. |
Access, written down
Who owns each system, what access we hold, and how you take it back.
The access register for one engagement, laid out the way it's agreed at onboarding. Every line has an owner and a way to revoke it that doesn't depend on us.
Illustrative example — not client data. Assumptions stated.
| System | Who owns it | Access we hold | Sign-in protection | How you revoke it |
|---|---|---|---|---|
| QuickBooks Online file | You: the subscription and the data are in your name | An accountant user you invited | Multi-factor authentication on each login we hold for your books | Remove our user in the file's user settings; the file and its history stay with you |
| Two bank accounts | You | Read-only: the bank feed into QuickBooks, plus statements you download | Your bank's own sign-in; your banking password stays with you | Disconnect the feed, or stop sending statements |
| Business credit card | You | Read-only card feed and monthly statements | The card issuer's sign-in, held by you | Disconnect the feed in QuickBooks |
| Payroll provider | You, as the employer | Report access to registers and tax deposits | Multi-factor authentication on each login we hold for your books | Remove our user in the provider's settings |
| Documents you send us | You | Copies used for the monthly work | Sent to us securely, not by email | Stop sending; ask what we hold at any time |
- A made-up engagement: one QuickBooks Online file, two bank accounts, one credit card and a payroll provider.
- The bank offers a read-only feed; where a bank doesn't, statements you download take its place.
- Menu names differ between products and change over time; the owner and the revoke route don't.
