A QuickBooks file misbehaves when its structure does. We rebuild the structure in a fixed order, since later parts post into earlier ones: the chart first, then the lists pointing at it, then the automation filling it.

The order is deliberate: re-pointing items or rewriting rules before the chart is settled just sends postings to accounts about to be merged away.

Undeposited Funds

How the holding account inflates, and how it's unwound.

It's a frequent file-level fault because the deposit step is easy to skip, and it follows the same three steps in both versions.

A payment is received

Recording a customer payment parks it in Undeposited Funds until a bank deposit is recorded against it.

The deposit should empty it

The bank deposit is meant to group those payments and move them into the bank account. When the feed's deposit is added as new income instead of matched, the payment stays behind.

Income doubles, the balance grows

Revenue is counted twice and the holding balance climbs every month. We match each stranded payment to its real deposit; writing the balance off with a journal entry would hide the double count instead.

What a repaired file shows for each bank account: the statement and the QuickBooks register, adjusted for uncleared items, agree with no adjustment entry forcing them. Reconciliations forced in the past are unwound until this holds.

The net effect comes from matching the payment to its deposit; writing the holding balance off with a journal entry would hide the double count instead of removing it. Feeds, repair, migration

Where the rest of the file work goes.

Desktop files get a health check first. Backup, Verify Data, read the errors, Rebuild Data, verify again. A file that still fails needs repair work before any transactions are touched, or the cleanup builds on damage.

Migration comes after cleanup. Converting Desktop to Online copies the file as it stands. Clean it, confirm balances against statements, then migrate, so the new file starts from numbers you can trust.

Every bank rule read, broad ones narrowed, and auto-add switched off wherever it has been posting unseen errors.

Duplicate imports removed

Re-imported feed activity and app syncs that double up with the feed are found and excluded or deleted.

Match before add

Downloaded deposits and payments matched to the invoices, bills and payments already in the file rather than added as new.

Compare the file with its sources. If bank statements, payroll reports and invoices are complete and correct but QuickBooks reports disagree with them, the fault is in the file: stranded payments, rules posting to the wrong accounts, duplicated imports or damaged data. Correcting transactions inside a damaged file risks building on errors the utilities would have flagged. QuickBooks Online has no equivalent utility, so its problems are corrected transaction by transaction.
After. Conversion copies the Desktop file's contents as they stand, so anything wrong in the old file becomes the new file's starting point. Cleaning first, confirming balances against statements, then converting gives the Online file a clean start; the migration itself is a separate step with its own checks.
It protects finished periods. QuickBooks Online and Desktop both let you set a closing date with a password, so changes to cleaned months need a deliberate override. It doesn't stop new mistakes in the current month; a monthly close does that job.
